Kula Ops, on a demo business

A shift with Kula

An ordinary shift, made easier.

Four moments from one day at a club. Kula Ops does the chasing, so the team can be with the people in front of them.

5:50am · Opening

Start the shift knowing.

Sam opens the club. A short brief is waiting: what needs a decision today, with a suggested next step on each, ready to act on or leave.

The person now knows what to do. Sam walks in knowing what to do first.

How it works

Start at your pace.

Nothing to rip out or replace. Kula starts with what you already have and works alongside the systems you already run.

01 / SET UP

Set up Kula Intelligence.

Connect the systems you run and share the documents you have. Kula builds a model of how your business works, and keeps learning, week by week.

02 / RELEASE

Release Kula Ops to your team.

When you are ready, every person gets the right briefing, duties and help for their role, on an iPad, a desktop or a phone.

03 / GO FURTHER

Keep improving, then go further.

Agree a baseline, track the early wins, and add your own Apps. Move on to Kula Fitness and the Tribe app when it suits.

A follow-up that takes a club manager 7.4 minutes takes 2.2 with Kula Ops.

One follow-up, timed step by step

The example: a club manager asks, “Has the 6am door fault been fixed?” They have to find out whether the contractor came, whether the desk logged it and whether members were told.

2.2 min

3 in 10 follow-ups still need the manager, and those take the same steps as today. The other 7 in 10 are handled and logged by Kula.

The steps today, in minutes

  1. Recall what is still open0.50
  2. Park the current task0.25
  3. Walk over, or write a message or call1.12
  4. Wait for them, or for a reply1.00
  5. They are busy or off site: try again0.80
  6. Get the status1.75
  7. Get back into the task1.50
  8. Note the status0.50
  • Reaching the person
  • Getting and noting the answer
  • Switching away and back

Walking over and messaging are each half of follow-ups, so the third step is the blend of the two.

Time given back

4.2 minper follow-up on average, with the team using Kula Ops 8 times in 10
24follow-ups per club manager per week
1.7 ha week back, per club
0.8 ha week back for the colleagues being chased

Time back for members, the team and the floor. People run the clubs. Kula supports them.

Method: a standard time study. Break the task into steps, time each step, multiply by how often it happens, compare before and after. Step times and how often follow-ups happen are modelled assumptions, not yet measured at a customer’s club. Modelled range: about 1.2 to 2.8 hours a week per club. The door fault is an illustration of the follow-up line, and your own numbers are the ones that count, so we measure them in your business before and after.

A note from the founders

We come at this from two sides. One of us has spent 25 years running studios, and the other has been building software for small businesses since 1985.

The best studios we have known were never run by software. They were run by people who knew every name, every routine and every quirk of the building.

Kula exists to give every team that kind of knowledge, without burning out the few people who carry it. People run the business. We just make sure they are never on their own.
